SharePoint Online Implementation Guide
This guide provides technical instructions for configuring SharePoint Online environments, covering site architecture, branding, and navigation structures.
1. SharePoint Site Architecture
Understanding site types is critical for proper information architecture. Use the following table to determine the correct template based on business requirements.

2. Team Site Deployment
Team sites are designed for day-to-day operations.
- Creation Path: Navigate to SharePoint Home or the SharePoint Admin Center.
- Configuration: Select Create site > Team site.
- Group Association: Choose to create a new Microsoft 365 group or connect to an existing one. This automatically provisions an Outlook mailbox and a shared calendar.
- Privacy Settings:
- Private: Access restricted to added members.
- Public: Any user in the tenant can access and join.
- Post-Provisioning Audit:
- Open Site permissions.
- Verify Site Owners have Full Control.
- Verify Site Members have Edit (not just Contribute) to allow list schema changes if needed.
3. Communication Site Deployment
Communication sites function as intranets or landing pages.
- Creation Path: Select Create site > Communication site.
- Template Selection: * Topic: Best for news and events.
- Showcase: Best for visual/product galleries.
- Blank: For custom layouts.
- Hub Association at Creation: If creating from a Hub site, the new site inherits the hub theme and global navigation immediately.
4. Branding and Visual Identity
Standardizing the interface ensures a consistent user experience.
- Change the Look: Click the Gear icon > Change the look.
- Themes:
- Select from Microsoft defaults or Organization themes (pushed by Global Admins).
- Themes apply accent colors to buttons, headers, and site icons.
- Header Configuration:
- Standard: Vertical height is larger; supports large logos.
- Compact: Reduces vertical space; ideal for data-heavy sites.
- Logo: Upload a PNG or SVG with a transparent background for optimal rendering.
5. Navigation Configuration
SharePoint utilizes three distinct navigation layers.
- Local Navigation: Specific to the site. Found on the left for Team sites and the top for Communication sites.
- Hub Navigation: Shared across all sites associated with a hub. Appears above the site title.
- Global Navigation: Part of the SharePoint app bar (home icon on the far left).
Editing Steps:
- Click Edit on the navigation bar.
- Select the + icon to add a Link or a Label.
- Nesting: Drag a link to the right under a Label to create a sub-menu.
- Audience Targeting: (Optional) Enable targeting to show specific links only to specific Entra ID groups.
6. Communication Site Footers
Footers are exclusive to Communication sites and provide space for persistent legal or contact links.
- Activation: Settings > Change the look > Footer.
- Toggle: Set Show footer to On.
- Layout: Choose Simple or Extended.
- Links: Add up to 8 links for items like Privacy Policies, IT Help Desk, or Corporate Terms.
7. Hub Site Administration
Hubs act as the connective tissue for the environment.
- Registration: Requires SharePoint Admin or Global Admin roles.
- Go to SharePoint Admin Center > Active sites.
- Select the target site > Hub > Register as hub site.
- Association: * Go to Site Information on a destination site.
- Select the Hub site association dropdown.
- Search Impact: Hubs provide “scoped search.” When a user searches from the hub home, SharePoint queries all associated sites.
- Permissions Sync: Admins can enable Hub permissions to sync a “Hub Visitors” group across all associated sites to simplify broad access.
8. Mega Menus
Mega menus replace traditional cascading dropdowns with a structured, multi-column panel.
- Prerequisites: Must be a Communication site or a Hub site.
- Configuration: Settings > Change the look > Navigation.
- Menu Style: Select Mega menu.
- Hierarchy Logic:
- Level 1: The main heading visible on the navigation bar.
- Level 2: The column headers inside the mega menu panel.
- Level 3: Individual links listed under each column header.
9. Technical Review and Study Reference
Use this checklist for environment validation or exam preparation.
- Permissions: Remember that M365 Group Owners are automatically SharePoint Site Collection Admins.
- Limits: A site can only be associated with one hub at a time.
- Inheritance: Themes flow from Hub to Site, but can be manually overridden unless restricted by PowerShell.
- UI Constraints: Team sites do not support Footers.
- RBAC: Only SharePoint Admins can register a hub; Site Owners can only associate their site with an existing hub (if allowed by hub settings).
