How to Back Up Google Photos and Clear Old Emails
In this guide you’ll learn:
- How to download all your Google Photos and copy them to a portable hard drive.
- How to delete lots of emails from the same sender in Outlook with just a few clicks.
No tech skills needed—just follow the lists.
1. Download all Google Photos to a portable drive (Google Takeout)
A. Open Google Takeout
- On your computer, open a web browser.
- Go to https://takeout.google.com.
- Sign in with the Google account that has your photos.
B. Select only Google Photos
- On the “Select data to include” page, click Deselect all so nothing is selected.
- Scroll down until you find Google Photos.
- Tick the checkbox next to Google Photos.
- (Optional) Click “All photo albums included” if you want to choose only some albums.
- Click OK when you’re done.
C. Choose export options
- Scroll to the bottom and click Next step.
- Under Destination, choose how you want the files delivered, for example:
- Send download link via email, or
- Add to Drive (or another cloud service).
- Under Frequency, select Export once.
- Under File type & size:
- Leave .zip as the type.
- Pick a size (e.g. 50GB) so you get fewer big files instead of many small ones.
D. Create and download the archive
- Click Create export.
- Wait while Google prepares your photos. This can take from minutes to several hours.
- When it’s ready, you’ll get an email. Click the link in the email or return to the Takeout page.
- Download the ZIP file(s) to your computer.
E. Copy to your portable drive
- Plug your portable hard drive into your computer.
- Open File Explorer and go to your Downloads folder (or wherever you saved the ZIPs).
- Right-click a ZIP file and choose Extract All, then follow the prompts.
- After extraction, select the photo folders.
- Drag them onto your portable drive in File Explorer.
- Wait for the copy to finish.
- Use “Safely remove hardware” and unplug the drive.
2. Bulk delete emails from one sender in Outlook
You can clear old newsletters or spammy senders in one go instead of deleting each email by hand.
2.1 Outlook desktop (Windows app)
A. Find all emails from the sender
- Open the Outlook desktop app.
- Click in the Search box above your message list.
- Type the email address of the sender, e.g.
news@example.com. - Press Enter and wait for Outlook to show all matching messages.
B. Select and delete them
- Click any one email in the search results.
- Press Ctrl + A to select all the results.
- Press the Delete key.
- All those messages move to the Deleted Items folder.
- To remove them permanently, right-click Deleted Items and choose Empty Folder (optional).
2.2 Outlook.com (web version)
A. Open Outlook on the web
- Go to https://outlook.com in your browser.
- Sign in with your Microsoft account.
- Open your Inbox.
B. Use Sweep to clean them up
- Find one email from the sender you want to remove.
- Click the checkbox next to that email to select it.
- At the top, click Sweep.
- In the Sweep window, choose an option like:
- “Delete all messages from this sender in the Inbox”, and
- (Optional) “Also delete future messages” if you never want to see them again.
- Click OK or Delete to confirm.
- Outlook will automatically remove all the existing emails that match your choice.
Quick safety check
- Before emptying Deleted Items, scan the list to make sure nothing important is there.
- For regular newsletters, also click Unsubscribe inside one of the emails so they stop coming back.
You’ve now backed up your Google Photos and given your Outlook inbox a much-needed clean-up.
