Simplify Calendar Sharing in Microsoft 365 with a Mail-Enabled Security Group
Sharing your work calendar helps everyone stay on the same page. Instead of adding people one by one, you can share with a whole group. Microsoft 365 makes this easy—just use a mail-enabled security group. Here’s how to set it up and share your calendar in minutes.
Step 1: Create a Mail-Enabled Security Group
By default, you can’t share to the built-in “All Users” group. You need a security group that has an email address.
- Sign in to the Exchange Online Admin Center.
- Go to Recipients > Groups and click the Mail-enabled security tab.
- Click Add a group, select Mail-enabled security, then Next.
- Give the group a clear name and description. Click Next.
- Under Assign owners, click + and pick who will manage the group. Click Next.
- Under Add members, click + and select everyone who needs calendar access. Click Next.
- Enter an email address for the group. You can allow external senders or require owner approval here. Click Next.
- Review your settings and click Create Group.
Now you have a mail-enabled security group that works like a distribution list and a security group in one.
Step 2: Share Your Calendar in Outlook on the Web
Once your group is set up, share your calendar to it.
- Open Outlook for Web and switch to Calendar.
- Click the Settings gear, then View all Outlook settings.
- Choose Calendar > Shared calendars.
- Find the calendar you want to share and click Share.
- Type the name or email address of your security group.
- Pick a permission level:
- Can view when I’m busy
- Can view titles and locations
- Can view all details
- Delegate
- Click Share, then Done.
Members of your security group now see your calendar based on the permission you set. They can add it in their Outlook or mobile calendar apps.
